How We Work
ArchiveForge’s approach is rooted in Matt McDowell’s 26 years of federal civil service, where he specialized in intelligence and information exploitation. This deep expertise in Document and Media Exploitation (DOMEX) ensures that every modernization project we undertake is built on a foundation of rigorous security and analytical precision.
Our basic and effective workflow:
Receive → Inventory → Prepare → Digitize → OCR/Transcribe → Metadata → QA → Deliver
-
Receive
Materials are securely received and logged. Chain-of-custody controls begin at intake and continue through final delivery. -
Inventory
Each box, folder, document set, or media item is identified and tracked. ArchiveForge creates a clear record of what was received before processing begins. -
Prepare
Materials are organized and prepared for digitization, including staple and fastener removal, separation, sequencing, and basic condition review where needed. -
Digitize
Records and media are converted using equipment and capture settings appropriate to the source material. The goal is accurate, consistent reproduction while protecting the original. -
OCR / Transcribe
Paper records are processed with optical character recognition to make text searchable. Audio materials are transcribed and prepared for search, review, and indexing. -
Metadata
Structured metadata is created to describe, identify, and organize each digital record. This helps customers search, manage, migrate, and import collections into other systems. -
QA
Digital files are reviewed for image quality, completeness, OCR accuracy, naming consistency, metadata integrity, and overall project requirements before release. -
Deliver
Final files are organized and delivered in the agreed format and structure. ArchiveForge provides the completed digital collection along with supporting metadata and project documentation.
